Ep 051 – Think You Know How To Use A To-Do List? 🤔

Most of us know the feeling: we create a long to-do list filled with tasks we need to get done, but somehow, by the end of the day, many of those tasks are still sitting there, unchecked.

It’s frustrating, overwhelming, and leaves us wondering why we even bother making a list in the first place.

What if I told you the problem isn’t with your to-do list—it’s with how you use it?

In this post, I’m going to share a simple, powerful method to actually accomplish everything on your list and bring more structure and peace to your day.

It’s called time blocking, and it’s a game-changer.

The Secret to Using Your To-Do List Effectively

Here’s the trick: your to-do list captures everything you need to do, but it’s your calendar that helps you get it done. Every item on your to-do list needs to be assigned a specific block of time on your calendar. This turns your list of tasks into a concrete plan, giving each task a designated time to be completed.

Let’s break this down into 5 simple steps:

Step 1: Start With Your To-Do List

First, write down all the tasks you need to accomplish. It’s perfectly fine to use a traditional to-do list to capture everything on your plate. Personally, I use Apple Reminders because it’s fast, syncs instantly across devices, and is easily accessible on my phone and laptop. But whether you prefer digital tools or good old pen and paper, the key is to get everything out of your head and onto the list.

Step 2: Prioritize Each Task

Look over your list and decide which tasks are the most pressing. What do you need to get done today? What can wait until later in the week?

This step is crucial because we’re going to use this priority list to determine when each task gets scheduled.

Pay attention to the tasks that make your heart race a little faster—those are often the ones you’ve been avoiding but need to be addressed first.

Step 3: Schedule Each Task as a Time Block

This is the game-changing step: assign each task a specific time slot on your calendar. Instead of just listing “write email to clients,” add it to your calendar as “2–3 p.m.: Write email to clients.”

By turning each task into an appointment with yourself, you’re committing to it and making it far more likely to get done.

The most urgent tasks should be scheduled sooner, while less critical items can be added further out. You can also create recurring time blocks for regular activities, like content creation or client follow-ups. Just make sure to update the specific task each week so you know exactly what you’ll be working on.

Step 4: Focus on One Task at a Time

When the time comes, focus only on the task you’ve scheduled. Multitasking can lead to distractions and reduced productivity. By sticking to what you planned, you’re engaging in deep work, which helps you complete tasks faster and with better quality.

If you’ve scheduled a block for content creation, for example, don’t let yourself get pulled into checking emails or answering phone calls during that time. This level of focus is where the real magic of time blocking happens.

Step 5: Adjust as Needed

Life happens, and sometimes tasks take longer than expected. The beauty of using a digital calendar is that it’s easy to adjust. 

If a task runs over its time block, simply move the next one or shift things around for the rest of the day. Flexibility is key, but remember—every task should have a designated time slot.

I prefer using a digital calendar (I use Apple Calendar) because it syncs across devices and makes changes a breeze. There’s no eraser needed, just a quick drag-and-drop to update your schedule.

•Reduced Overwhelm: Breaking your day into manageable time blocks creates a sense of structure, making large projects or busy schedules feel less daunting. Plus, it’s incredibly satisfying to see your progress add up throughout the day.
